Overview

Caseload overview

Use Caseload to find a client or student, open the correct profile, and add or import records.

Open Caseload

  1. Sign in to iSpeax.
  2. Select Caseload in the left navigation.

Caseload opens with the Active view selected. Select Archived when you need to review archived records.

Understand the caseload table

Each client or student in your caseload appears in one row. The table shows:

  • Name
  • Email
  • Phone
  • Tags
  • Status
  • Created

Use Dashboard in the row to open the selected profile. Use Actions for the options available for that record.

The Status column can show a status such as Active or Pending; the Active and Archived controls above the table determine which group of records you are viewing.

Find a client or student in your caseload

  1. Select Active or Archived to choose the group you want to review.
  2. Enter part of the client or student's name in Search contacts... to narrow the list.
  3. Clear the search field to return to the full list for the selected view.

Add one client or student

Select Add Contact to begin adding a client or student.

Review a client or student's profile

Find the client or student in Caseload, then select Dashboard in that row. You can also use the profile selector after a profile is open.

A profile can include these tabs:

  • Dashboard
  • Goals
  • Sessions
  • Notes
  • Finance
  • Reports
  • Files

Confirm the profile name before adding goals, appointments, sessions, notes, files, or financial information.

See Profile dashboard overview for the cards, tabs, empty states, and quick actions covered in this Help Center.

Import clients or students from a spreadsheet

Select Import Contacts to download the template, upload a completed file, review the rows, and import the selected clients or students. iSpeax accepts .xlsx, .xls, and .csv files.

See Import clients or students into your caseload for the complete Upload, Review, and Confirm steps.

Note: Details about a client or student and their caregiver can contain sensitive information. Use your organization's approved device, storage, and data-handling practices when preparing an import file.

If a client or student is missing

  • Check whether Active or Archived is selected.
  • Clear Search contacts... and check the list again.
  • If an import file cannot be selected, check that it uses one of the supported file formats.

If you still cannot find the record, contact iSpeax Support without including names, contact details, caregiver details, appointment information, clinical information, or other sensitive information.
